Volunteer Policy

1 Vision

We want our school to be open and welcoming to all who would like to support the children. We would like to encourage adults to help the school in a variety of ways. We believe that they can add enormous value to children’s learning opportunities and experiences. Our overriding concern is for the safety and security of the children in our care. Our school policy is to ensure that the children benefit from as much help and support as necessary while being ensured of the best security possible.


2 Aims of Volunteer Helpers Policy

2.1 To provide volunteers with clear expectations, induction and guidelines for working in school.


2.2 To encourage the wider community to engage with children’s learning to raise standards of achievement and promote community cohesion.


3 Volunteer helpers are:
3.1 Adults working alongside teachers who are not members of the school staff

3.2 Students of 18 years or above on work experience placements

3.3 Parents, carers or family members helping on school trips or in classroom
 

4 Appropriate volunteer activities:
4.1 Supporting individual pupils within classrooms

4.2 Hearing pupils read

4.3 Helping with classroom organisation
 

4.4 Helping with supervision of children on school visits


4.5 Helping with group work


4.6 Helping with art or other practical subjects (cooking etc)


4.7 Supporting children in developing play skills


4.8 Supporting after school clubs


5 Volunteer helpers must not:
5.1 Take responsibility for all or some of the class

5.2 Take the children out of the classroom without a member of school staff, including to the toilet

5.3 Take any photographs of pupils without explicit permission from a member of SMT

5.4 Change children or supervise them changing

5.5 Undertake or support personal care for pupils

5.6 Undertake manual handling of pupils

5.7 Be placed in a group with pupils who present higher physical risks due to their behaviour


5.8 Support school staff in any Team Teach situation


5.9 Supervise children engaged in PE or other specialist activities

5.10Take the children off the school site without a teacher in charge
The responsibility for the health and welfare of the children remains with the class teacher at all times.


6 Signing in
6.1 When helpers arrive in the school they must sign in at the school office and collect a visitor badge which must be worn at all times in school. Please indicate your arrival time and which class you will be visiting.

6.2 Volunteers must also sign out and state the time when they are leaving the school premises.


7 Safeguarding Checks
It is also policy that all staff and volunteers who:

7.1 work directly and regularly (once a week or more) or intensively (four or more times in a thirty day period) with children or vulnerable adults


7.2 in roles which involve caring for, training, supervising or being in sole charge of pupils
Volunteers are required to obtain a DBS disclosure at the appropriate level.


The administration cost of this will be paid by the volunteer, not the school, except where this is an agreed placement with an educational establishment. We may be able to refund the cost of this when a volunteer helps regularly for a period of one working month or more.


7.3 The Head teacher has the authority not to accept the help of volunteers if he or she believes that it is not in the best interest of the children to do so.


7.4 The Head teacher has the authority to terminate a volunteer’s agreement at any point if there are concerns about the person’s suitability.


8 Volunteers not requiring an Enhanced Disclosure
8.1 Volunteers or parents who accompany staff and children on one-off outings or trips that do not involve overnight stays.

8.2 Those who help out at specific events e.g. school fete, mums in school days etc who do not have unsupervised access to children.

 

9 Procedure
9.1 All volunteers will complete an application form (see attached)


9.2 All volunteers will undergo an interview with a suitable member of staff.


9.3 All volunteers wishing to work within the school will undergo a literacy/numeracy test.


9.4 Volunteers wishing to volunteer for more than one term will be subject to termly review


9.5 The role will be supernumerary.


9.6 There will be a written agreement between the school and the volunteer outlining the terms of the volunteer activities and length of the volunteer period.


10 Confidentiality
We recognise that for staff and parents of other children to be confident about helpers in school all volunteers will need to agree to a protocol about confidentiality and conduct. Volunteer helpers are asked to sign a ‘Volunteer Helpers Protocol,’ a copy of which will be kept in school.


11 Deployment of Parent Helpers
It is the policy of the school to ask that volunteer parents or family members are not placed in their own child’s classroom, as this can be distracting for the child and can possibly place the class teacher in a difficult situation. Helpers will be asked to support in classes where there is the most need for individual support.


12 Monitoring and Review
12.1 The responsibility for overseeing that the volunteer adheres to these terms is the responsibility of class teacher or member of staff that has invited them into the school.

12.2 The day to day monitoring of this policy is the responsibility for the Headteacher and Leadership Team. The Headteacher will report to Governors annually on the number of volunteers in school and summarising their value and impact in supporting children’s learning.

12.3 This policy will be reviewed on a 2 year cycle or earlier if necessary following full consultation from the parents, staff and governors.

As a school we agree to:

 

  • Explain your tasks/jobs carefully so that you are clear about what we would like you to do with the children
     
  • Share the school behaviour and ethos policy with you to help you understand how we manage behaviour
     
  • Treat you with the highest respect and care
     
  • Share relevant information about the children you are working with
     
  • Let you know in advance the overall plan for the day where possible, there may be circumstances where you could have a change of duties/class.
     
  • Treat anything you tell us with confidentiality
     
  • We agree not to ask you to:
     
  • Deal with difficult or challenging behaviour
     
  • Carry out a task that you feel unprepared or unqualified to complete

As a volunteer helper I agree to:

  • Use the school behaviour and ethos policy and inform the teacher if I see any inappropriate behaviour
     
  • Follow the instructions of Meadow High School staff.
     
  • Inform the teacher if I observe anything that concerns me in school
     
  • Treat any information with total confidentiality
     
  • Attend the agreed sessions for the agreed period barring illness or emergencies
     
  • Inform the school if I am unable to come into school for any reason by 7.30am in the morning
     
  • Respect and listen to the guidance of the teacher at all times
     
  • Complete the appropriate DBS/List 99 safeguarding checks
     
  • Disclose any criminal allegations to the Headteacher prior to starting as a volunteer helper at Meadow High School.


I agree not to:

  • Look at or compare children’s work, records or staff records
     
  • Share any information about a child or member of staff with anyone outside the school staff team
